Custom forms

Many Tracker clients would like to have commonly used template forms built in to the interface of the Tracker system. This is understandable, as the entire purpose of the system is to automate the process of handling items and handwritten forms are a huge waste of time and resources. Please follow these simple instructions to submit forms for processing.

Cost

Creation of forms in a PDF template do take time. While you might think this is a simple process, a basic form can take up to 4 hours and more complex forms can take up to 20 hours for a programmer to create. While our goal is to integrate these forms for free, we must put a limit on the free hours and charge for time in excess of the allotted free time. This chart will help you determine how many free hours you will get with your purchase.

Purchased version clients receive 1 free programming hour for every $1,000 you spend on the software. (Initial purchase only)

Hosted version clients receive 3 free programming hours for every $1,000 you spend in annual hosting fees (First year only)

Pricing All work on form creation is billed at $100 per hour.

Process

List of files we need:

  1. Two electronic copies of the form

    One blank form (the template) Example

    Please include on this form any items which are always the same every time the form is printed. Example

    One completed form

    On this form fill out all fields which will be generated by the Tracker Products software. The form should be filled with the name of the fields which will be put on the form Example

  2. Image files which are used on the form

    If your form has a company logo or some other image on it, please send us a copy of the image file if this is available to you.

  3. Note: These need to be as high quality as possible (no blurry or grainy copies). Preferred file formats: PDF, Word documents, Excel documents. Also acceptable would be a scanned image of the form so long as the image is clear and legible. Faxes are not preferable as they tend to be of poor quality.

Additional information that we need

  1. Some forms often do not have enough space for the amount of data to be included on them. An example would be a form with enough space for ten items being used with a case that has more than ten items to include on the form. Please let us know how you want to handle excess data on the form. Some common solutions to this are:
    • Print out more than one copy of the form which contain the excess data
    • Expand the form to include the extra lines (this often results in what is normally a one page form expand to multiple pages) Example
    • The data is just ignored altogether.
  2. If there is a preference, please let us what font type and size to use on the form input. If no preference is given then we typically select a font type and size which matches the font already on the form.
  3. A description of the purpose of the form and how it is used within your organization, this will help Tracker Products understand the best way to integrate the form with your system.
  4. If the form has irregular dimensions (anything other than the standard paper size 8.5x11) then let us know what the dimensions are supposed to be.
  5. Does the new form generated by our system need to be an exact replica or pixel perfect copy of the original form? We always try to make the form match the original as closely as we can within a reasonable time limit, but if your form needs to be absolutely perfect this takes extra time (typically at least twice as long). Let us know ahead of time if you need an exact copy.
